  • Overview

    We are looking for an Executive Assistant to provide full executive support for all marketing office operations under the direction of the VP of Marketing & Business Development and supporting 5 of the VP’s Direct Reports and 32 indirect reports.


    Major responsibilities of the Executive Assistant include: organizing, developing, updating, maintaining and tracking marketing programs, company initiatives and special projects; facilitate communication between sales and marketing management. This position interfaces with all departments throughout the company.


    Required Duties

    • Schedule and maintain calendar of VP of Marketing & Business Development.
    • Manage the VP with schedules, follow ups, keeping him prioritized on every project and meeting.
    • Responsible for the development and maintenance of the shared drive for the marketing database.
    • Creating advanced Power Point Presentations.
    • Inserting charts and graphs
    • Creating organizational charts
    • Inserting Animations
    • Formatting Consistency
    • Creating advanced Excel Spreadsheets.
    • Formulas – VLOOKUP’s
    • Pivot Tables
    • Conditional formatting
    • Multi-tab Excel Worksheets
    • Organize staff meetings, supplier meetings, and any offsite meetings that are required.
    • Booking conference rooms
    • Meeting set up – table, food and beverage set up and breakdown
    • Support the Marketing department to meet all deadlines, responsibilities, and monthly goals.
    • Run specific Diver/System I reports as requested.
    • Set up new hires, i.e. office/work station, coordinate orientation meetings with other departments.
    • Liaison between sales, marketing and suppliers.
    • Prepare correspondence and reports for supervisors as needed.
    • Take notes for monthly marketing and staff meetings as needed.
    • Track, submit VP’s expenses.
    • Coordinate all travel.
    • Other ad hoc requests as required.


    Requirements include: 5 - 7 years or more experience as a high-level Executive Assistant. Experience in the Beverage Alcohol industry required; Restaurant, Retail Store, Supplier or Distributor. Advanced skills in all Microsoft Office applications (Word, Excel, Power Point and Outlook), detail oriented, the ability to prioritize and multi-task, must have excellent verbal and written communication skills. Must be able to work as a team as well as work independently in an extremely fast paced environment without any direct supervision and handle multiple personalities while keeping a positive attitude. Associates Degree Required, degree is Business Administration preferred.
